Overview:
The Coordinator of Data Quality, Advancement Operations, provides direct data management support to the Manager, Advancement Operations (MAO) in University Advancement (UA), the UA team, and various campus partners. Experience with databases, spreadsheets, and applications is an essential skill in this role. The Coordinator will be an energetic and team-oriented individual who is seeking to work in the field of data management within the field of higher education. Tact, sensitivity, maintaining confidentiality, and understanding donor and alumni intentions are crucial to ensure the positive and productive management of data. This is a part-time, non-benefit-eligible position. Hours worked do not exceed 950 hours annually.
Responsibilities:
- Analyze and integrate relevant content in support of the UA Leadership Team relating to prospecting strategies by researching, gathering, and organizing data to be entered into new and existing records contained within the Blackbaud Raiser’s Edge database. The research and gathering of information will be obtained by using several outside tools, including but not limited to: o LinkedIn/Sales Navigator o Research Point o Alumni Finder o AlmaConnect o Banner
- Create standards for and maintain the integrity of the database by identifying and correcting inconsistent data utilizing queries and global changes. Ensuring data integrity should include, but not be limited to, the consistency of data as it relates to: o Contact information/Addresses/Emails/Phone o Education/Degrees o Employment/Positions/Professions/Industries o Attributes/Miscellaneous
- Enter charitable contributions into the donor management database Raiser's Edge. Meticulous review of donation checks and online giving systems to ensure proper allocation to donor records and specific funds, appeals and campaigns as well as verification of donor information needed for the donor relations process. Prepare daily control sheets for deposits, reconciling the physical or digital gifts received with the detailed batch information entered into the database before transferring deposits to the finance department.
- Support by staffing and managing attendance for on campus and off-campus donor and alumni events. Execute miscellaneous support functions for all alumni and fundraising events as directed. Maintain a procedural library of all responsibilities assigned. Support and participate in annual audits in partnership with Blackbaud to maintain data health by monitoring database upgrades, constituent address updates, deceased constituent information, and duplicate records created through various data activities. Support and participate in migration from Raiser’s Edge database view to Raiser’s Edge NXT. Support the UA Leadership team and the MAO in creating email and various other lists, including outsourced communications related to the UA's strategy, as well as fulfilling list requests from multiple campus partners. Collaborate with the RMU Enterprise Applications team to download, organize and sort data to prepare for importing. Write queries to verify the consistency of all imported data, and scrub any newly imported data that requires updates or corrections. Work with the MAO to resolve database-related issues and challenges. Work with and advise students as they work on projects associated with data management. Other duties as assigned.
Minimum Qualifications:
- Bachelor’s degree preferred.
- Experience in fields of finance, database management or technology preferred.
- Broad experience utilizing advanced Excel functions or managing complex datasets with a high degree of accuracy. Proven ability to work independently, manage competing priorities, and successfully driving complex projects to completion. Strong organizational and interpersonal communication skills, tailored for an interactive and collaborative team environment.
