Position Type: Staff Full-Time
Overview:
This position provides confidential administrative support to the Human Resources Department. This position also provides various administrative support to Business Affairs, Title IX. This position is supportive in all aspects of human resources including tracking of invoices, scheduling on-boarding, conducting onboarding for part-time employees. Assists with compliance projects and tracks certain benefits (tuition waiver). Maintains the HR website.
Responsibilities:
  • Manages, coordinates and arranges calendar and meeting arrangements on behalf of the departments.
  • Maintains files and confidential records on behalf of the departments.
  • Draft and provide input on correspondence and other communication on behalf of the departments.
  • Manages projects as determined by the departments including projects with confidential and/or sensitive material.
  • Prepare and reconcile various monthly invoices for Human Resources and Business Affairs.
  • Manages coverage of the front desk in Human Resources and Human Resources inbox. Serves as the main point of contact for HR phone line and walk-ins and will triage to the appropriate HR colleague.
  • Serves as initial point of contact for general benefits questions, life events, new hire benefits enrollment.
  • Schedule campus wide cross functional meetings involving senior level leadership. Requests will be made at the request of the Vice President, Business Affairs, Chief Accounting and Financial Planning Officer, or the Vice President of People and Culture.
  • Provide administrative support to Vice President, Business Affairs, Chief Accounting and Financial Planning Officer and the Vice President for People and Culture.
  • Provides administrative support as needed for the Title IX office.
  • Process employment verification requests.
  • Eligible for a hybrid schedule, potentially one day a week work from home.
  • Other duties as assigned.
Minimum Qualifications:
  • High School diploma required.
  • Associates degree preferred.
  • Minimum of three years of administrative assistant experience is required. Human Resources experience, leave management experience, employee benefits experience, wellness initiative experience is preferred.
  • Ability to maintain a high degree of confidentiality.
  • Proficient knowledge of computers including Microsoft Office packages including Word, Excel and PowerPoint and/or Google Docs.
  • A willingness to develop computer skills and adjust to other updated technology.
  • Strong attention to detail and accuracy.
  • Ability to use discretion to make independent judgments, decisions and problem solve.
  • Strong organizational skills; ability to prioritize multiple tasks and work with moderate supervision.
  • Excellent customer relations and professional and interpersonal communication skills needed to interact closely with staff, faculty and students, deal with multiple constituencies and work with a diverse population.
  • Ability to design presentations using presentation software such as PowerPoint, Google Slides or other presentation software.
